Professional Training Coordinator

Purpose of Job     

The role holder will be responsible for planning and coordinating the delivery of the Centre’s Professional Training short course and partnered delivery offer, to enable the Goldsmiths’ Centre to meet is charitable objectives and strategic targets. General support to other programmes within the department, and in particular supporting the development of growth and new programmes.

This will involve liaising with colleagues, tutors, students and members of the industry; coordinating these activities to ensure that they are of maximum benefit to the Centre’s audiences.

Main Responsibilities

  • Working closely with the Head of Professional Training and Curriculum Manager (Vocational) and consultants, lead on the research, planning and coordination of the Centre’s short course offer (both on and offline) including the co-ordination of tutors and students and taking full responsibility for provision of materials, as it enters a new phase of significant growth in this area
  • Support Professional Training Team in providing the highest level of satisfaction and delivery across multiple stakeholders, including students, and self employed faculty
  • Key liaison between Professional Training department, marketing, technicians and centralised admin team and provide diary management support for the Head of Professional training
  • Provide co-ordination support for partner delivery activity which takes place at the Centre including preparation for piloting new T-Level offer
  • Liaise with marketing and admin teams to ensure timely marketing of courses and recruitment of students
  • Provide course selection advice for potential students and ensure feedback is channelled into the programming process
  • Keep across industry and competition provision to feed into programming process, as lead by the Head of Professional Training and Curriculum Manager (Vocational)
  • Work closely with the Head of Professional Training on collating research and data to support and maintain programme development
  • Ensure departmental EDI objectives are met, monitored and encourage, and that the Goldsmiths Centre’s values of inclusivity, community, creativity and craft are promoted.
  • Support the Head of Professional Training in meeting Short Courses target and budget (income and expenditure)
  • Support the delivery of Professional Training with additional administrative support where applicable, including assistance with consolidation of financial records and budget analysis

Programming Coordination Specifics include:

a. Details are collected that enable the programme to be listed available to book online and promoted 3-6 months in advance of the delivery date.

b. Application forms and EDI forms are circulated, processed, reviewed, and responded to.

c. All contributors are booked and subsequently receive information in a timely manner.

d. All participants can book and subsequently receive information in a timely manner.

e. Accurate records are kept and where appropriate added to the CRM.

f. Evaluation is undertaken and collated.

g. Enquiries are appropriately followed-up.

h. Appropriate information is uploaded to the online learning platform.

i. Rooms and virtual spaces are booked.

And, to support the delivery of these programmes, where appropriate by:

a. Welcoming participants and co-hosting live/online sessions.

b. Acting as duty manager for training provision where needed including undertaking work outside of usual working hours (overtime hours will be claimable as TOIL).

General

  1. Liaise with internal departments to book event spaces and facilities and ensure reception and security have information required.
  2. Taking an active role in day-to-day operations of the Centre, liaising with other members of staff and externally with members of the public and industry,
  3. Be prepared to undertake any task that might reasonably be required.

Person Specification

The Candidate

  • 3 years plus Course or arts Programming, Arts admin or Education admin experience
  • A highly organised and self-motivated person – with proven skills in prioritising and managing a varied workload – who is able to anticipate the requirements of programme coordination in the long, as well as the short term.
  • A team-player with excellent communication skills who can also work on his/her own initiative, but understands the value of sharing information, asking questions, and seeking the opinions of others.
  • A creative individual who has exciting and inspiring ideas and the initiative to follow them through to delivery and evaluation.
  • Excellent writing skills, proof reading and ability to write engaging content to market courses
  • A resourceful problem-solver
  • A confident relationship builder who enjoys building and maintaining contacts.
  • A keen eye for design and proven experience in managing processes – from initial planning and briefing suppliers, to meeting delivery deadlines.
  • Proven substantial experience of working in an art/design related field and a good understanding of the goldsmithing and jewellery industry.
  • Competent IT skills including use of Microsoft Office and in particular Excel and CRMs

Desirable

  • Jewellery / silversmithing / arts / creative degree or equivalent Jewellery industry knowledge
  • Experience of digital education/short course delivery
  • Marketing or Sales experience
  • Experience of Microsoft Dynamics CRM, Digitickets, Shopify
  • First Aid trained
